How to write a quote that gets accepted

A clear quote wins more work than a cheap one. Here’s what to put in it, in the order customers look for it.

The checklist

  1. A one-line summary of the job. “Replace bathroom tap and toilet cistern”, not a code. It’s the first thing they read.
  2. What’s included. Labour, materials, removal of old parts, making good. List the things customers usually worry about.
  3. What isn’t included. Say it now, not on the day. It prevents arguments and builds trust.
  4. One clear total. Make it obvious whether VAT is included. If there are options, show each with its own price.
  5. When you can start, and how long it takes. Often the deciding factor, especially for urgent work.
  6. How long the price is valid. Thirty days is common. It gently encourages a decision.
  7. Payment terms. Deposit, stage payments and how they can pay.
  8. Guarantees and credentials. Workmanship guarantee, warranties and any trade registrations you hold.
  9. An easy way to say yes. One link or one reply. The fewer steps, the more acceptances.

Then follow up

Send the quote while the visit is fresh, ideally the same or next day. Then follow up two or three days later. Our free follow-up templates make it painless.
